Responsibilities

Job Summary: System Director – Meeting/Events Planning

Serves as leader/support for the system meetings; collaborating with stakeholders on meeting and special events hosted by Dignity Health (pre-event, onsite, and post event). Provides a total participant experience reflective of the ministry’s mission, vision, and values. Provides strategic support to the overall goals/objectives of meeting/events.

Job Responsibilities

Partners with management and functional staff in all phases of meeting/event planning through execution and post review.

Ensures that the Meeting/Event department effectively provides:

  • Registration (site design, web design)

  • On-site registration management

  • Oversight of logistics

  • Scheduling

  • Site visit management

  • Contract management (legal, health, safety, vendor)

  • Staffing

  • Finance and budgeting (forecasting income and expenditures, fixed and variable costs)

  • Project management (strategy, planning, execution, monitoring, managing changes)

  • Event management (site inspections, layout, flow, floor plans, ancillary plans, special services)

  • Production management

  • Supplier management

  • Hotel management (group reservations, CSM, sales, AV, and F & B)

  • On-site staffing

  • Exhibit hall management

  • Content management as appropriate

  • Session and speaker management

  • Transportation management

  • Security and safety

  • Technical assistance on site

  • Ensure appropriate legal review/releases (working with legal, communications, marketing, social media, photographers, videographers)

  • Orientation and training to departmental staff on meeting teams

  • Similar branding/production results reflective of Dignity Health’s mission, vision, and values

  • Collaborate with teams to create/design event brand identity which will be applied to all event elements

  • Post-event wrap up

Serves as liaison between Dignity Health function and external vendors and sites. Partners with respective functions in their meetings. Organizes and oversees development and quality of all materials, orientation, communications, follow-ups. Considers the perspectives of meeting event executive sponsor as the key customer.

Supervises a team of 3-4 individuals who provide support (e.g. technology, web design, registration, logistics, etc.)

Qualifications

Education

Bachelor’s degree

Experience

Minimum of five years’ experience in overseeing large scope, complex meetings/events

Participation in meeting/event planning training and classes

Experience cultivating and managing relationships with senior level executives, and individuals at all levels who support meetings/events

Skills

Knowledge of the processes, customs, policies and practices affecting how meeting/events are planned, and implemented.

Highly-developed written and verbal communication skills

Results/action orientated

Well-developed project management skills

Knowledge and ability to participate in web designing (e.g. registration and event apps)

Ability to provide training to work teams on all elements of meeting/event planning/implementation

Ability to provide strategic support to identify objectives and the needed tactics to achieve success
